How it works
Put the whole day’s post through the scanner in one go and email it to your Post Sorted address.
What happens next
- Split. The batch is separated into individual letters, keeping multi-page HMRC packs and agent copies together.
- Identify. Each letter is matched to a client in Karbon by name, or by VAT number when HMRC writes to you rather than the client. Matches you correct are remembered.
- Classify. Over 35 UK letter types: HMRC VAT, PAYE, Self Assessment, Corporation Tax and penalties, Companies House, DWP, bank statements, court and insolvency, and more.
- Extract. Who sent it, what it’s about, and the date the client must act by, read from the letter and never guessed.
- File. The PDF is attached to the client in Karbon, named
YYYYMMDD Client Title Sender, with a timeline note. - Email. The client gets a plain-English email from your own mailbox, with the letter attached and any deadline highlighted.
You stay in control
Start by approving every letter in the portal. When you trust it, let confident letters go automatically and only see the ones that need a decision: a client it couldn’t identify, a penalty you might need to check first, or a letter with no email address on file.
